Field sales software for distributors in Ghana
Most field sales tools are built for markets where the network never drops and every customer pays by card. Ghana is not that market. Here is what changes when the software is written for the way distribution actually works here.
The problem is not visibility, it is proof
Every distributor we meet already knows roughly where their reps are. What they cannot do is prove it, or reconcile it with what was sold. The rep says they visited eleven pharmacies in Madina. The order book shows four orders. Nobody can say whether the other seven were visited and bought nothing, or were never visited at all.
A field sales system earns its keep by closing that gap. In FuFu CRM each visit records the device's location and the time as the rep opens it, and the day's movement is recorded alongside. A day spent at home does not produce a route through a market. You are looking at a pattern, not at a claim.
It has to work where the signal does not
This is the point most imported software fails. A rep in Techiman or on the Kumasi–Tamale road will lose signal several times a day. If the app blocks when that happens, reps stop using it and go back to the notebook — and you have paid for a system that produces worse data than the notebook did.
FuFu CRM holds the whole working day on the phone: visits, orders, collections, photos, expense claims. The rep never waits for a connection. When the phone next finds signal the day syncs, and because each record carries its own reference nothing is entered twice. Customers, prices, stock levels and targets travel back out to the phone the same way.
What a distributor actually runs on
| In the field | In the office |
|---|---|
| GPS-verified visits and attendance | Sectors, areas and route planning |
| Order taking against live stock and prices | Order approval and discount limits by role |
| Payment collections, cheques and deposits | Outstanding balances and ageing by bucket |
| Sales returns and expense claims | Invoices and proforma PDFs |
| Competitor prices and field notes | Targets, scorecards and commissions |
Credit is the part that bites
In a cash-and-credit market the risk is rarely the order — it is the ninety days afterwards. FuFu CRM carries a credit limit and a payment term per customer, ages every open invoice into current, 30, 60, 90 and 120-plus day buckets, and shows a rep the customer's outstanding balance before they write the next order.
Price lists work the same way. One list can hold a cash price and a credit price for the same product, so a customer paying on receipt and a customer taking thirty days are quoted correctly without the rep doing arithmetic in the shop.
A practical test when you evaluate anything in this category: ask the vendor to put the phone in flight mode and take an order, a collection and a visit photo, then turn the radio back on. If anything is lost or has to be retyped, your reps will find that out in week one.
What it costs
FuFu CRM is priced per user per month: $30 for Standard, $60 for Professional and $90 for Enterprise, with about a sixth off when billed yearly. A rep licence and a manager licence cost the same, so the question is simply how many people need an account.
Questions managers ask
Does it work without an internet connection?
Yes. The app holds the whole day on the phone — visits, orders, collections, photos — and syncs when it next finds signal. The rep is never blocked and nothing is entered twice.
What phones do the reps need?
An Android phone or iPhone, and their own is fine. Managers and the office use any web browser, so there is nothing to install on a desktop.
Can a rep record a visit without being at the customer?
Each visit records the device location and time as it opens, and the day’s movement is recorded alongside it. A day spent away from the route does not produce a route through the market, so the pattern shows even where a single reading does not.
How long does setting it up take?
Your products, customers and outstanding balances import from the spreadsheets you already keep, so you do not start from an empty system. Sectors, areas and user roles are set up with you.
